Mail Handling Policy
This policy outlines the procedures and conditions under which Sweet Home Paraguay receives, processes, and handles mail for our virtual mailbox subscribers. This policy is designed to be read in conjunction with our Package Assurance Policy and our Terms of Website Use and Privacy Policy, available on our website at [Your Website Link].
1. Mail Receiving and Initial Processing:
- Upon receiving mail at our facility, we will log the date of arrival and take a photograph of the envelope. This photo will be sent to you via your preferred method of communication (WhatsApp, email, or Signal).
- This initial photo is included within your monthly envelope scanning allowance of 50 scans per month.
- We will not open any mail unless specifically requested by the mailbox subscriber.
2. Mail Content Scanning:
- Request for Scanning: Upon receiving the initial envelope photo, you may instruct us to scan the contents of any piece of mail.
- Document Scanning: If requested, we will fully scan documents up to 30 pages. This counts as one content scan.
- For documents exceeding 30 pages, each additional 30 pages (or portion thereof) will count as an additional content scan. Example: a 75 page document would count as three content scans.
- Scanning of Non-Document Mail:
- Pictures and postcards will be scanned as images.
- We will use reasonable care to scan other types of mail so that content is legible, though scanning of dimensional items may not produce perfect images.
- Delivery Format: All scans will be delivered in PDF format unless it is a picture or postcard, in which case it will be an image format such as JPEG or PNG.
- Monthly Allowance: The initial price for the mailbox includes 25 content scans per month. Additional scans will be subject to additional fees, and will be determined by your subscription level or as a per-scan payment.
- Mail Opening: We will only open mail if you explicitly instruct us to scan its contents. This includes mail marked as “personal,” “confidential,” or “do not open” unless you instruct us to open it.
3. Handling of Physical Mail Post-Scanning:
- Once the content has been scanned, you have the following options for the physical mail:
- Hold for Pick-up: You may instruct us to hold the original mail at our facility for in-person pick-up by you or an authorized representative.
- Forwarding: You may instruct us to forward the mail to any location globally (shipping costs apply).
- Disposal: You may instruct us to discard the physical mail.
- Shredding: You may instruct us to shred the mail, which is a free and secure service.
- Storage of Non-Parcel Mail: We will store non-parcel mail free of charge for a period of 3 months after which a fee of $0.50 per month per piece of mail will be charged.
- Storage of Parcel Mail: We will store parcel mail for free for one week after which a fee of $5 per month per parcel will be charged.
- Disposal of Unpaid Storage: If outstanding storage fees remain unpaid for a period of three months, Sweet Home Paraguay reserves the right to dispose of any held parcels and mail.
4. Parcel Definition and Acceptance:
- A “parcel” is defined as any item that cannot fit within standard mailboxes.
- We accept parcels up to 10kg. Larger packages are handled on a case-by-case basis.
- Parcels are subject to the terms of our “Package Assurance Policy.”
5. Confidentiality:
- At Sweet Home Paraguay, the confidentiality of your mail and your personal information is of the utmost importance to us. We will take all reasonable precautions to protect your privacy and ensure your mail is treated securely.
- All Sweet Home Paraguay employees undergo background checks to ensure security and reliability.
- We follow the data protection guidelines set out in our Privacy Policy available on our website. We do not share your personal information with third parties except where necessary to process your payments. We will never sell your personal information.
6. Mail with Incorrect Names or Addresses:
- Mail received that has an incorrect name or cannot be connected to an active account will be returned to sender at the sender’s expense. Sweet Home Paraguay will contact the addressee to inform them that the mail has been received and to collect the applicable funds for return.
- Mail received that does not contain an address will be considered undeliverable and will be disposed of.
7. Limitations of Liability:
- Sweet Home Paraguay’s liability is limited to the direct handling of mail within our facility. We are not responsible for loss or damage that occurs while mail is in transit with any mail carrier, or for other matters detailed in the Terms of Use.
- We are not responsible for any consequential damages or losses arising from your use of this service.
8. Amendments to this Policy
- Sweet Home Paraguay reserves the right to amend this policy at any time. We will notify clients of any changes through their preferred method of communication (WhatsApp, email, or Signal).
9. Agreement to Terms:
By using our virtual mailbox service, you agree to adhere to the terms of this Mail Handling Policy, as well as our Package Assurance Policy, Terms of Use, and Privacy Policy found on our website.
Package Assurance Policy
At Sweet Home Paraguay, we understand that you rely on us to securely receive and handle your mail and packages. We strive to provide the best possible service, but it’s important to clearly outline our responsibilities regarding package assurance.
1. Package Receipt Confirmation:
- Upon receiving a package at our facility, we will promptly take a photograph of the package and send it to you via your preferred method of communication (WhatsApp, email, or Signal). This provides immediate visual evidence that your package has arrived in our possession.
2. Packages Lost or Damaged in Transit (By Mail Carrier):
- We have no control over the mail carrier or shipping companies once a package leaves their facility and is en route to us. Therefore, we are not liable for packages that are lost, damaged, or delayed by the mail carrier or shipping company.
- If you experience a problem with a package that has not been delivered to our facility, we will assist in the following ways:
- We will provide you with any tracking information we have related to the package.
- We will attempt to contact the carrier or shipping company on your behalf to investigate the situation. However, we cannot guarantee the carrier’s cooperation or a successful outcome.
- Ultimately, responsibility for packages lost or damaged in transit rests with the mail carrier or shipping company. We strongly recommend you ensure your packages are properly insured with the mail carrier or shipping company for higher value items, if needed.
3. Packages Lost or Damaged While in Our Possession:
- Our responsibility for your package begins when the package is delivered to and accepted by Sweet Home Paraguay and ends when the package is either (a) picked up by you (or an authorized representative), or (b) picked up by a courier service for forwarding as per your instructions.
- In the unlikely event that a package is lost or damaged while in our possession at our facility (after the package has been delivered to us and confirmed via photo, but before it is released as described above), we will provide the following:
- We will conduct a thorough investigation of the circumstances surrounding the loss or damage.
- If it is determined that the loss or damage is a result of our negligence, we will provide compensation for the declared value of the package, up to a maximum of $100.00 USD.
- Our liability is limited to the loss of or damage to a physical package. We are not liable for any consequential damages, such as lost income or the value of any non-replaceable items.
4. Declared Value:
- The “declared value” of a package refers to the value you declare as being the value of the item(s) within. We will be relying on this declared value if a package is lost or damaged whilst in our possession (within the $100 limit).
- Please Note: Our $100 maximum compensation is not a full insurance policy. It is designed to provide some limited coverage for items lost or damaged due to our proven negligence. For high-value items, we highly recommend obtaining independent shipping insurance from your shipping carrier.
5. Forwarding and Customs:
- If you choose to have your packages forwarded to another location, please note that Sweet Home Paraguay is not responsible for any damages, losses, or delays caused by the forwarding courier or postal service.
- Customs Duties and Taxes: It is the sole responsibility of the mailbox account holder to pay any customs duties, taxes, or other fees associated with the import of packages to any other country. Sweet Home Paraguay will not be held liable for any such fees.
6. Exclusions:
- This policy does not cover:
- Loss or damage due to Acts of God (natural disasters, war, etc.).
- Loss or damage caused by the mail carrier or shipping company before the package arrives at Sweet Home Paraguay.
- Loss or damage caused by the forwarding courier or postal service.
- Loss or damage due to misaddressing or inadequate packaging.
- Loss or damage of perishable items or items that are inherently fragile.
- Loss or damage due to customs seizures or actions by other government entities.
- Loss of sentimental value or any indirect loss associated with a package.
7. Claim Process:
- If you believe a package was lost or damaged while in our possession, you must notify us within 3 days of the retrieval of the package or attempt thereof if the package is lost. Claims should be made through your preferred method of communication (WhatsApp, email, or Signal).
- You may be required to provide additional information or documentation, such as a receipt or a description of the package’s contents.
8. Changes to this Policy:
- Sweet Home Paraguay reserves the right to amend this policy at any time. We will notify clients of any changes through their preferred method of communication (WhatsApp, email, or Signal).
Important Note:
We are a virtual mailbox service, not a shipping or insurance company. This policy is designed to be fair and transparent and provide assurance for the physical packages handled by us. We strongly recommend that our clients consider all appropriate options for insuring high-value items. If you are planning to ship something valuable, it would be beneficial to inquire with your selected shipping company about insurance that they offer, if any.
By using our service, you agree to the terms of this Package Assurance Policy.
Refund Policy
If an account is enrolled and then canceled within the first ten (10) days of the beginning of the mailbox subscription term, you will, upon your written request to The Sweet Home Paraguay Billing Team with a “Refund Request,” receive a refund processed within 10 business days.
A refund is also available for the other services before you supply information to begin the process. Therefore, once your information is submitted for residency, license, or accounting the sale is final.
To request a refund:
In the body, let us know that you’re within the 10-day refund period and include your subscription email address again.
Within the first ten (10) days, send an email to hi@sweethomeparaguay.com.
In the subject line, write: “REFUND REQUEST” and your subscription email.
